Sales & Proposal Coordinator

Location: U.S. Remote or Austin, TX office
Base Salary:
$60,000 – $70,000, dependent on experience

The Impact You’ll Make:

  • Manage incoming sales inquiries, either through phone, email, website request proposal form, referral, or some other method. Management of sales inquiries will include:
    • Scheduling and taking notes on introductory phone calls
    • Updating and maintaining records in our CRM, Hubspot
    • Scheduling next steps after introductory phone calls
    • Scheduling a Needs Analysis (qualification meeting) for qualified prospects
    • Following up with prospects and clients
  • Evaluate incoming RFPs to confirm fit and identify response requirements and criteria for evaluation.
  • Assist with the proposal process, including drafting formal proposals, capabilities presentations, and engagement letters.
  • Coordinate final production of proposal materials in print and electronic versions. This may include printing documents, assembling, and shipping.
  • Assist with the contracting process, including drafting and revising service agreements and scopes of work.

  • Participate in project handoffs to the production team.

  • Prospect for new clients as needed, including working with the brand marketing team to conduct timely follow-up campaigns and keep documentation and data up-to-date in Hubspot.

  • Find, investigate and research potential sales opportunities posted on industry listservs such as ESBD, PCDC, NTEN, Progressive Exchange, Comms Network, etc.

  • Contribute to the team by bringing ideas for improving processes and recommending opportunities for efficiency.

  • Attend events and conferences in a sales support role, as needed.

  • Provide administrative support to the Sales and account management teams. This may include personal assistance, office management, and related duties.

Expectations:

Unless specifically noted, not every expectation is required to be qualified for this role. We are looking for a combination of this skill set. If you have many of these skills but not all of them, please feel free to apply.

  • 2+ years experience in a sales or customer service role.

  • 2+ years of project coordination or operations experience required.

  • 2+ years of technical or proposal writing experience is preferred.

  • A bachelor’s degree or equivalent work experience.

  • Familiarity with basic branding, marketing, communications, and web development terminology.

  • Creative and composes creative solutions to problems.

  • Competitive and motivated to succeed.

  • Ability to collect meaningful data and draw reasonable conclusions.

  • Ability to work in an office or home environment and ability to travel from time to time to help with events (no more than 5% travel required).

  • Experience with Microsoft Office programs and other common productivity tools such as Google Drive / Google Docs, Hubspot, CRMs, and project management systems.

Our Hiring Process:

We want our hiring process to be fair, equitable, and positive for all candidates. And we want to have a great hire at the end of it! Typically, it takes a final candidate 4-8 weeks to complete our hiring process. In today’s market, we know that is slower than most companies, but it’s important that we all come out better for it. Here’s a look at the general timing of our hiring process:

  • 2-4 business weeks: Collect resumes

  • 1 business week: Initial virtual interviews (30 minutes) with 5-10 candidates

  • 1-2 business weeks: Virtual interview (60 minutes) with 3-5 candidates

  • 1-2 business weeks: Third, and likely final, virtual interview (60 minutes) with 2-3 candidates

  • 1 business week: Check references, official offer, and negotiation
